How to Get Transactional Emails Approved in Klaviyo

What makes an email transactional in Klaviyo

Transactional emails are functional messages triggered by explicit customer actions. They update a shopper on their order status, account details, shipping tracking, or refunds. Unlike marketing campaigns, customers expect these emails immediately, and they open them at remarkably high rates.

By default, Klaviyo treats almost every flow email as commercial marketing. That means if a customer has previously unsubscribed from your marketing list, they might miss critical order updates unless that specific message is flagged as transactional.

Hardly anyone takes the time to change this setting. That is a mistake.

Why transactional status transforms account deliverability

Across the 120 plus accounts we have managed (driving over $5.8 million in revenue), deliverability always comes down to sender reputation. Mailbox providers like Google and Yahoo monitor how recipients engage with your domain. When people consistently open, read, and click your emails, your sender reputation climbs.

Transactional messages naturally get astronomical open and click rates. When Klaviyo flags an email as transactional, mailbox providers are far more likely to route it straight to the Primary tab or Updates folder rather than Promotions.

That high engagement does not just protect that single message. It feeds positive engagement signals back to your sending domain, lifting deliverability across your regular campaigns and promotional flows as well.

The 80/20 rule for transactional content

You cannot simply slap a transactional tag on a weekly newsletter or a flash sale announcement. Klaviyo reviews these requests manually, and they will reject anything that looks like disguised marketing.

To pass review, your email must strictly follow the 80/20 rule:

  • 80% essential information: Order confirmation details, itemised receipts, tracking links, or account updates.
  • 20% secondary discovery: Subtle links to explore your collection, read brand documentation, or visit the homepage.

Keep discounts, coupon codes, and aggressive product cross-sells completely out of these templates. A soft prompt such as "Explore our latest range" in the footer is fine and quietly drives extra revenue without violating Klaviyo's guidelines.

Step-by-step: How to request transactional status

Here is the exact process we use to get transactional status approved by Klaviyo support:

  • Open the relevant flow inside Klaviyo (such as an order confirmation or shipping update flow).
  • Click the specific email card, then click Edit in the right-hand panel.
  • Copy the full URL from your browser's address bar while viewing that specific email template.
  • Click your account name in the top navigation, go to Support, and select Email Support.
  • Choose the category Other, select Question about something else, and set the priority to high.
  • Submit a short message: "Hi, please mark the following email as transactional: [Paste URL]".

Klaviyo support will review the template layout, confirm it meets their requirements, and apply the internal transactional tag directly to that message.

Checking your settings and keeping approval

Once support approves your request, look at the bottom settings panel for that email card in your flow builder. You will see a dedicated Transactional Email badge alongside your standard UTM tracking settings.

One limitation worth noting: if you make substantial structural edits or add promotional banners later, Klaviyo can revoke the transactional status. Keep these templates focused on operational clarity.

Final Thoughts

Getting your operational flows officially marked as transactional ensures critical information reaches your customers while giving your entire account a measurable deliverability lift. It takes roughly five minutes of work with support, but the long-term impact on your sender reputation is well worth the effort.
