Why Move Transactional Notifications into Klaviyo
Hardly any ecommerce brands set up dedicated flows for cancelled and refunded orders. Most stores leave these notifications to Shopify default templates, which look generic and do nothing for your marketing ecosystem. That is a mistake.

Consolidating your transactional emails into your primary ESP (email service provider) gives you complete design control. More importantly, consistent transactional sending builds sender reputation and strengthens your overall deliverability.
Before you turn on these flows in Klaviyo, make sure you turn off the corresponding automated notifications inside Shopify. Sending duplicate cancellation emails from two platforms looks amateur and confuses customers. Turn off the default notice once your Klaviyo setup is ready to go live.
Setting Up the Cancelled Order Flow Trigger
The first flow is triggered by the Cancelled Order metric passed from Shopify into Klaviyo. You do not need any flow filters on the trigger itself, but you do need a deliberate time delay right at the start.
Place a 5-minute delay immediately after the trigger. This 5-minute window is critical because it gives Klaviyo enough time to register whether a refund metric was processed at the exact same moment. Without this small buffer, your conditional logic will fail to catch immediate refunds.
Note that this setup assumes you are not using an automated helpdesk tool like Gorgias to handle cancellation tickets. If you run a dedicated support platform that creates tickets automatically, your architecture will look slightly different.
Splitting Cancelled Orders from Immediate Refunds
After the 5-minute delay, add a conditional split based on whether the customer has had an order refunded since starting the flow. This lets you tailor your messaging to two distinct scenarios.
- Email 1A (Cancelled Only): For customers whose order was cancelled without an immediate refund processed. Let them know the cancellation went through, clearly outline next steps, and provide dynamic product blocks showing the cancelled items. Include direct support contact details so they can reply immediately if the cancellation was a mistake.
- Email 1B (Cancelled and Refunded): For customers who had their order cancelled and their payment returned in one go. Confirm both actions clearly and explain your payout timelines, whether that is a direct bank transfer or 3 to 5 business days for credit card processing.
Use dynamic Shopify event tags to pull in item names, quantities, and imagery. Keep the layout clean, structured, and strictly transactional.
Building the Dedicated Refunded Order Flow
The second automation is your Refunded Order flow, triggered by the Refunded Order metric. These two flows work as a pair, so you need the right safeguard in place to prevent message overlap.
Add a flow filter: Cancelled Order zero times since starting this flow. This ensures that someone who just went through your cancelled order sequence does not receive a duplicate refund confirmation seconds later. If someone receives a partial refund or a standalone refund without a cancellation, this automation catches them cleanly.
Keep the subject line direct, such as "Your order has been refunded". State the refunded total using dynamic value tags to avoid confusion. You can include a soft prompt for future purchases, such as new arrivals or a modest discount code, but keep it gentle. If a customer is returning an item because of a poor experience, aggressive upselling will backfire.
Getting Transactional Email Approval in Klaviyo
Both of these flows should be purely informational. Once you have written and designed the emails, contact Klaviyo support to request official transactional status for each template.
Transactional status means Klaviyo will send the email regardless of marketing consent, and inbox providers will prioritise delivery directly to the primary inbox. It ensures essential account updates never get buried in the promotions tab.
To submit the request, copy the preview link for each email directly from the Klaviyo editor and send it to support. Ensure there are no promotional marketing banners or irrelevant sales pushes in the template, or support will reject the transactional classification.
